Wedding Questions, Answered

Everything brides and grooms ask us before booking a Texas Hill Country barn wedding — pricing, capacity, catering, lodging and every detail in between.

We've been hosting weddings on this land since 1996 — long enough to know exactly what you're going to ask before you ask it. Here's everything, straight from us.

Booking & Pricing

How do we book a tour of Vista West Ranch?

Reach out through our Book a Tour form or call us at 512-894-3500. We'll walk the property with you, talk through your date, and answer every question in person — no pressure, just good conversation.

How far in advance should we book our wedding date?

Dripping Springs is known as the Wedding Capital of Texas for a reason — popular dates go fast, especially spring and fall weekends. Most couples lock in their date 9 to 18 months out, but it never hurts to check availability even if your wedding is next month.

How much does it cost to rent Vista West Ranch?

Pricing depends on your date, season and day of the week. Our couples consistently tell us we're well-priced for how much is included — we're closer to all-inclusive than a bare-bones rental. Reach out for a custom quote and we'll break it all down for you.

What's actually included in the rental package?

More than just a building: 250 fruitwood folding chairs, 25 farm tables, a catering prep area, a double margarita machine, keg taps and a walk-in cooler, table set-up and breakdown, a month-of event planner, two TABC bartenders for up to 150 guests (you provide your own alcohol — a huge savings for you), an outdoor ceremony arbor, separate bridal and groom suites, globe and pin-spot lighting, one hour of rehearsal time, and one hour for a bridal or engagement photo session.

Do you provide a wedding coordinator?

Yes — a month-of event planner is included in every rental package, so you're not managing timelines and vendor logistics alone on the biggest day of your life.

Do you work with outside wedding planners and coordinators?

We love working with coordinators. If you bring your own planner, our included month-of coordinator simply changes hats and becomes your property liaison and coordinator sidekick — working alongside your planner through that last month to make sure everything on our end runs smoothly.

Do we get a rehearsal at the venue?

Yes, one hour of rehearsal time is included, either the day of or the day before your wedding.

Capacity & Spaces

How many guests can Vista West Ranch hold?

Our maximum occupancy is 250 guests, with plenty of room to dance the night away in the reception barn or spread out across the Biergarten.

What spaces are included for the ceremony, cocktail hour and reception?

You get it all: an outdoor ceremony site with arbor, a Biergarten with a full bar, two fire pits and a waterfall feature for cocktail hour, and a boho-rustic reception barn with an indoor bar, long neutral drapes, willow sphere lighting and an altar backdrop.

Is there an indoor backup if it rains?

Texas weather does its own thing, and we've hosted plenty of beautiful rain-day weddings. Our reception barn gives you real indoor square footage to fall back on. Talk to us about your specific layout on your tour so we can map out a rain plan you feel good about.

Where do the bride and groom get ready?

You each get your own separate, spacious getting-ready quarters — no cramming into a bathroom for photos.

Food & Alcohol

Do you provide catering, or can we bring our own?

We don't have in-house catering because we want you to have the freedom to pick a caterer you love. Bring in any licensed, insured caterer you'd like — they'll just need to complete an on-site walkthrough with our staff 30 days before your event. Want a shortcut? We've got a list of trusted caterers who already know our kitchen and layout.

What's your alcohol policy?

Two TABC-certified bartenders are included in your package for up to 150 guests — and you provide your own alcohol, which is a huge savings for you. You can add a barback for chair set-up and removal as an upgrade through our contracted bartending service company - Bar Butlers. We even have a double margarita machine and keg taps ready to go, plus a walk-in cooler to keep everything cold.

Decor, Vendors & Music

Can we bring in our own vendors?

Absolutely. Outside vendors are welcome across the board — florists, photographers, DJs, caterers, you name it. After almost three decades hosting weddings here, we also have a trusted list of vendors we're happy to share if you want recommendations.

Can we bring in our own decorations?

Of course — make it yours. Just don't damage existing decor in the process, skip the permanent glue and nails bigger than a tack, and remember our golden rule: whatever you put up, you bring back down.

Can we have a live band or DJ?

Yes. All reception bands need pre-approval from management, and soloists or non-amplified musicians are welcome for the ceremony. The venue is fully wired for sound at both the ceremony site and the Biergarten — musicians just bring their own gear.

Are sparklers, fireworks or lanterns allowed?

No fireworks, Chinese lanterns or sparklers of any kind, no exceptions. You don't want to be the one who burns the place down.

Logistics

How does parking work?

We provide about 80 spaces in the main lot plus 20 additional overflow spaces, which can also accommodate charter buses and passenger vans for guests who'd rather not drive.

Is Vista West Ranch pet-friendly?

Yes, with a little paperwork. All animals need pre-approval from management, and you'll sign a pet addendum before your furry friend joins the ceremony and post-ceremony photos.

Is a security guard required?

Nope, not mandatory. If you'd feel more comfortable with added security, let us know and we'll connect you with the local Sheriff's Office.

What if we need more time on our wedding day?

Early access is available for $350 per additional hour, and you can extend your end time for $750 per hour.

Lodging & Location

Can we stay overnight at the venue?

Yes — optional on-site lodging is available for your wedding night or as a full weekend buyout. Our Bunk House in the Biergarten sleeps up to 16, so your closest people can stay right where the party was.

Where is Vista West Ranch located, and how far is it from Austin?

We're at 4505 McGregor Lane in Dripping Springs, Texas, about 30 minutes west of downtown Austin in the heart of what's known as the Wedding Capital of Texas.

Do you have a sister property for extra lodging or a rehearsal dinner?

We do — The Creek Haus is a family-owned property less than a mile away with a 2-night rental that sleeps up to 70. And 12 Fox Beer Co., our own local brewery, is a favorite spot for rehearsal dinners and welcome parties.

Beyond Weddings

Do you host elopements or smaller weddings?

Yes. We host everything from intimate elopements and engagement parties to full 250-guest weddings, rehearsal dinners and ceremonies.

Do you host anything besides weddings?

We do — beyond weddings, Vista West Ranch hosts corporate events, fundraisers and galas, quinceañeras, wellness retreats and staycations. If you're planning a milestone celebration, a nonprofit fundraiser, a company gathering, or a peaceful Hill Country getaway, the same property that hosts our weddings is built for that too.
